This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website www.neertha.com, use our services, or interact with us in connection with executive search or advisory mandates.
We collect information that you provide to us directly, information collected automatically when you use our website, and information obtained from third parties in connection with our executive search and advisory services.
Information you provide directly:
- Name, job title, organization, and contact details (email, phone, address) submitted through our website contact form or during direct engagement
- Professional background, career history, and biographical information provided in the context of executive search mandates
- Business information shared as part of a client engagement or advisory relationship
- Correspondence and communications exchanged with our team by email, phone, or in person
Information collected automatically:
- Log data including your IP address, browser type and version, pages visited, time and date of your visit, and referring URL
- Device information including hardware model, operating system, and browser
- Usage data and analytics relating to how you interact with our website
2. How We Use Your Information
We use the information we collect for the following purposes:
- To provide and manage our executive search and corporate advisory services
- To respond to your enquiries and schedule consultations
- To maintain and develop our professional relationship with you
- To match suitable candidates to appropriate leadership opportunities with client organizations (where applicable and with appropriate consent)
- To conduct reference checks and background verification as part of the search process
- To send you relevant market intelligence, thought leadership, or service updates where you have consented to receive such communications
- To improve our website, services, and internal processes
- To comply with applicable legal obligations
We process your personal information only where we have a lawful basis to do so — which will typically be your consent, the performance of a contract, compliance with a legal obligation, or our legitimate business interests where these are not overridden by your privacy rights.
3. Disclosure of Your Information
Neertha does not sell, rent, or trade personal information to third parties. We may share your information in the following limited circumstances:
- With client organizations — as expressly authorized by you in the context of an executive search engagement, and only to the extent necessary for that engagement
- With candidates — only with appropriate client authorization and in accordance with the specific mandate scope
- With trusted service providers — third parties who assist us with IT infrastructure, analytics, communications, or professional services, subject to contractual confidentiality obligations
- For legal compliance — where required by applicable law, regulation, court order, or governmental authority
- In connection with business transfers — in the event of a merger, acquisition, or sale of all or substantially all of our business assets, subject to confidentiality undertakings
4. Confidentiality of Mandates
The confidentiality of executive search mandates and advisory engagements is fundamental to our business and our professional reputation. We treat all mandate details, candidate identities, organizational information, and strategic discussions with absolute discretion.
- Client identities and mandate details are never disclosed to third parties without explicit authorization
- Candidate profiles and personal details are shared only with the specific client and only within the agreed scope of the mandate
- All Neertha personnel are bound by strict confidentiality obligations that survive the termination of their engagement with us
- We do not maintain publicly accessible databases of candidates or client mandates
For sensitive mandates: Where a search is particularly sensitive — such as a confidential CEO succession or a board restructuring — we apply enhanced discretion protocols including need-to-know access restrictions within our own team.
5. Data Retention
We retain personal information for as long as necessary to fulfil the purposes for which it was collected, to maintain our professional records, and to comply with applicable legal obligations. Specifically:
- Client and candidate records related to completed engagements are typically retained for a period of seven (7) years from the conclusion of the engagement
- Records of ongoing relationships are maintained for the duration of the relationship plus seven (7) years
- Website enquiry data and correspondence is retained for three (3) years unless incorporated into an active engagement file
- At the conclusion of the applicable retention period, personal information is securely deleted or anonymized
You may request the deletion of your personal information at any time (subject to any overriding legal obligations). See Section 7 for how to exercise this right.
6. Data Security
We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, accidental loss, alteration, disclosure, or destruction. These measures include:
- Encrypted transmission of data via SSL/TLS protocols on our website
- Restricted access to personal information on a strict need-to-know basis
- Confidentiality training and obligations for all personnel
- Secure storage of physical and digital records
- Regular review of our information security practices
While we take reasonable precautions, no transmission over the internet or method of electronic storage is 100% secure. We cannot guarantee absolute security and encourage you not to share sensitive information in unencrypted communications.
7. Your Rights
Subject to applicable law, you may have the following rights in relation to your personal information:
- Access — the right to request a copy of the personal information we hold about you
- Rectification — the right to request correction of inaccurate or incomplete information
- Erasure — the right to request deletion of your personal information (subject to overriding legal obligations)
- Restriction — the right to request that we limit the processing of your personal information
- Portability — the right to receive your personal information in a structured, commonly used format
- Objection — the right to object to processing based on legitimate interests or for direct marketing purposes
- Withdrawal of consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing
To exercise any of these rights, please contact us at akshay.gosavi@neertha.com. We will respond to your request within 30 days.
